  • 01.OVERVIEW

    Exhausted with online meetings

    “I’m Exhausted with meetings”, was our most frequent thought during the Covid-19 pandemic. We made agreements and want to find out a way to improve the experience together. We finally took Zoom as the object of our case study, since all of us are frequent users and we all think that Zoom has many bad experiences.

    For a better meeting managing experience

    Instead of refining the online meeting experience, for which there were already lots of nice practices of redesigning, we chose to dive into the experience of managing meetings. We expend a lot of energy to manage the online meeting we want to participate in, from accepting the meeting invitation to looking for the meeting link before the meeting. We believe that this is a common problem, and we have confirmed that it is indeed the case after investigation.

    02.RESEARCH

    Interview + Task Analysis

    We conducted interviews and usability tests to verify our assumptions and take a deep look into the problem. We found 6 interviewees, who are students or company staff, and made a semi-structured interview plan to learn about how they manage their meeting schedule and their pain points throughout their interaction with Zoom and related touchpoint. Based on the findings, we planed several tasks and ask users to walk through the current Zoom Application. Meanwhile, we conduct a contextual inquiry to ensure that we know people’s think and actions, and what they are facing within their daily activities about meeting management.

    Enhanced Meeting Management

    I added a calendar view on top of the screen of the original meeting to make it more intuitive for users to manage their schedules. I also added features to enable users to connect each meeting event with its group and attendees.

    Schedule Meeting Becomes Easier

    Instead of relying on 3rd party calendars, the newly designed Zoom allows users to create meeting events and inform attendees inside Zoom itself.

    Attendees Can Add Meeting In Waitting Room

    If attendees only receive the meeting link/ID, they can add the meeting event to their calendar after entering the waiting room.

    Or By Input The Meeting Link

    They can also input the meeting link/ID to directly import the meeting.

    Attendees can receive information updates in Zoom.
